AI Policy (Artificial Intelligence Policy)

Bhumidevi: Journal of Fashion Design

Bhumidevi: Journal of Fashion Design is committed to ethical publishing practices, especially regarding the emerging use of Artificial Intelligence (AI) and Large Language Models (LLMs) in research and writing. Our policy is guided by the principles of transparency, accountability, and integrity, aligning with the recommendations set forth by the Committee on Publication Ethics (COPE).

This policy applies to Authors, Editors, and Reviewers.

1. AI and Authorship (COPE Principle)

AI tools and Large Language Models (LLMs) cannot be listed as authors.

  • Authorship Responsibility: Authorship requires accountability for the entire work, including the integrity of the data and the final published content. Since AI tools cannot take legal responsibility or manage copyright, they do not meet the criteria for authorship.

  • Human Accountability: Any researcher who uses AI tools in the writing or preparation of a manuscript remains fully responsible for the accuracy, originality, and ethics of the content generated by the AI.

2. Disclosure of AI Use in Manuscript Preparation

Authors must be transparent about the use of AI technologies in the generation of their manuscript.

  • Mandatory Disclosure: If authors use AI tools (e.g., ChatGPT, Bard, Grammarly AI, etc.) for generating text, images, figures, or code during the research or writing process, they must clearly disclose this usage.

  • Where to Disclose:

    • In the Manuscript: A specific section titled "Declaration of AI Use" or similar must be included at the end of the manuscript, before the References section.

    • Details Required: This declaration must state which LLM or AI tool was used, for what specific purpose (e.g., draft generation, grammar checking, summarization, literature search), and what modifications, if any, were made by the authors to the generated content.

    • In the Submission System: Authors are also required to declare the use of AI tools in the corresponding field or cover letter during the initial submission process.

3. AI Use in Data and Research

  • If AI models were used to process, analyze, or interpret data, the methodology section must provide full and detailed information regarding the model used (e.g., name, version, provider, and parameters).

  • Authors must ensure that the use of any AI tool does not lead to plagiarism, citation errors, or fabrication of data. All references generated by AI must be verified by the human author(s).

4. AI and Reviewers/Editors

Editors and Reviewers must maintain confidentiality when utilizing AI tools during the editorial process:

  • Confidentiality: Editors and Reviewers must not upload or paste any part of a confidential manuscript into AI tools or LLMs (such as public online checkers or generative AI services). Doing so violates the confidentiality agreement and risks sharing unpublished work.

  • Permitted Use: AI tools may be used by Editors and Reviewers to assist with general language improvement or summarizing general concepts not specific to the content of the manuscript, provided the journal's policy on confidentiality is strictly followed.

  • Ethical Oversight: Editors will rely on their human judgment and peer reviewers for decision-making and will not delegate the final acceptance or rejection decision to an AI system.

This policy aims to harness the benefits of AI while upholding the ethical commitment of Bhumidevi: Journal of Fashion Design to integrity and author accountability in scholarly communication.
